Additional information how does this sound??

Hi All

I'm nearly ready to send my invites and have composed my additional information that will go inside on a folded A4 sheet, please let me know what you think and if i have poss missed anything, its a bit long winded so well done if you get to the bottom without yawning and thanks for any advice.

Additional Information

Please note although we would have loved to invite all the children of our family and friends we are restricted with numbers at The xxxx and for the wedding breakfast, therefore only those specifically named on invitations are invited to the day celebrations, however we can accomodate them for the Evening Reception and seperate invites will be sent out closer to the time naming those invited.

The Ceremony

Please arrive at The xxxxx 15 minutes prior to start time of 3.15 pm

If you have chosen the coach option, we will be in contact with you once times and collection points have been arranged with the coach company.

Coaches

We have decided to give guests the option of travelling to and from the ceremony due to Bath car parks being very full in the summer and the distance guests would have to walk, there will be collections from x, x and x. The coaches will stop outside of the xxx and collect you from the same spot to take you to the reception.

There will however be a charge of £3.50 per person for this but considering the parking charges, cost of petrol and the fact most guests may like a drink beforehand we felt this was an ooption we would like to offer you, if there are not enough to fill the coaches we will withdraw this option and be in contact with guests closer to the time to confirm either way.

The Reception

is being held in The Ballroom at xxxxxx, if on coaches you will arrive together but if driving feel free to make your way back upon leaving the xxxx for welcome drinks.

RSVP Cards

These have been included with your invitations, please fill out by writing your name and an x next to either We Will or Will Not be attending.

Food Preferences

Please write how many guests on your invite would like whichever option they have chosen with a number

Coaches

Please mark with an x if you wish to use the coach option or not, if you do please put a contact telephone number on the bottom of the rsvp card so that we can contact you to arrange times and collection of monies.

    Abby i totally understand your point hence my asking for advice from you lovely ladies first will leave out rsvp and as for coaches i have 120 guests to the day and cant sort that any other way, i was trying to be to the point but not rude so thanks for that x

    I have to agree a little...some bits sound like you are trying to justify your reasons (which you don't have to)

    For the Additional Information, i would keep it simple e.g due to venue capacity the day invitation is for those stated on the invitation only, we would love to invite the children in the evening where our capacity allowance increases, evening invites to follow.

    for The Ceremony section the wording of the arrival time confuses me a bit...i would say please arrive at 3.00pm (if thats what time you mean) the ceremony will begin at 3.15pm then the coach bit sounds fine

    For the Coaches section i would be inclined to chop that right down

    Due to walking distance and busy carparks we have decided to give guests the option of travelling to the ceremony and back to the reception venue via coaches. We have arranged for coaches to pick up from the following collection points: x, x and x.

    We are asking for £3.50 per person to use the coach service, and we will confirm the coach details once we have numbers confirmed.

    The Reception section should maybe state where it is with the address (if not on the main invite anyway?) and then i would say: The coaches will go directly from the ceremony to the reception venue, however if you are driving, there is parking at the venue. (i don't think you need to state that there is a welcome drink waiting for them)

    for the RSVP Cards i would imagine that the cards themselves are pretty self explanatory but maybe put something like....

    These have been included with your invitations, please write your name and whether you can attend and return to us at xxxxxxx (address?)

    for the Food Preferences again i would say...

    please write the number of people chosing each option next to the food choices.

    and finally the end coaches section i would intergrate with the other coach section e.g please tick on the RSVP if you would like to be included in the coach numbers and a contact number so we can give you some further information

    I think putting on coaches is a lovely idea!

    But becuase it is so dependant on whether guests want them maybe put it like this

    "Coaches - If you would prefer not to pay for parking and would like to have all your travel sorted for £3.50, please opt in on the RSVP. We will confim this with you nearer the time"

    or something like that. I'm also just doing this, so many people makes it sooo difficult!

    A bit too wordy for me.

    Suggestions:

    Due to restricted guest numbers at _venue_ the daytime invite is for those named on the invitation only, however our evening celebrations are less restricted and evening invites are to follow.

    I'm presuming the time of the ceremony will be printed elsewhere on the invite so saying 15 mins early to a 3.15 start seems OTT

    Please arrive at _venue_ at 3pm.

    Coaches/travel can be shortened to:

    An optional coach will be supplied to take you to _venue_ and onward to _evening venue_ . The collection points are X, X & X and there will be a small charge of £3.50 per person. Confirmation of this will be sent in due course once we have final numbers. Monies will be collected on dd/mm/yy

    If you would like to take advantage of the coach please tick the relevant box on the enclosed RSVP along with a contact number.

    For those guests wishing to drive to _evening venue_ there is ample parking available and directions are included.

    For the food:

    Please state how many of each option from the enclosed menu guests named on the invite would like.

    Then some quick thank you for reading, we look forward to seeing you etc etc on the bottom aaannndd...DONE!

    Hi hon,

    I agree with pp, I think its quite formal and you don't need to justify yourself and its coming across that way Smiley smile

    so lovely of you to put on a coach for everyone... like the other people mentioned.. just saying something like.... please let us know if you would like to take the coach at £3.50 per person to save you parking/fuel costs etc...

    no need to put about the children... my friend called me up when she did this and I was just happy to go to her wedding ..and you know what I had a really good drink without the kids - much more relaxing!!!

    Are you putting anything about hotel options / directions.... im just asking as Im about to do mine and I have no idea what to write! thanks for giving me a start ! Smiley smile
