Anyone any good at scheduling/rotas?

I've got to prepare a training schedule for 20 different courses, for 60 staff, with 3 rooms and 3 trainers over 4 weeks (not all rooms or trainers can do all of the courses!)

I've done it on a much smaller scale than this but nothing quite this big, and it's a bit daunting.

I've worked out how many times each course has to run based on the maximum number who can attend each course (this varies per topic/room space).

I've worked out that all courses need to run 3 times, some need to run 4 times and one needs to run 10 times so all in all about 70 courses over the 20 days - most are half day courses so can have two courses in a day (or 6 courses in a day if needs be if the topics allow the 3 trainers to all run a different course twice)

I think I'm going to prepare 3 programmes for 3 'cohorts' - avoiding clashes with trainers/rooms and then add in the extra courses where necessary. Does this sound sensible?

I don't have any fancy software to do this...just a large pad, pencil and rubber!

Any thoughts from those in the know as to how best to tackle this would be appreciated - my head hurts just thinking about it!

    Post-it notes. have columns for different rooms, big sheets of paper for different days and pick a colour eitehr for each trainer or each cohort then you can move the post-its around on the big sheets of paper.

    Try Google Calendar. You can set up as many calendars as you need (say, 1 per course), assign them different colours, and switch them on and off like 'layers'. Then you can assign dates/times as you need them, and if you want to rearrange, just click and drag the 'boxes' denoting the courses.

    I've probably explained it really badly, but it's a great free tool. I use it to achedule the daily workloads of 9 people, as requested by 4 other people. Works well.
