Charity Fundraising / Events Planning help please

macca, 23 February, 2009 at 10:45 Posted on Off Topic Posts 0 6

If anyone has experience with organising co-ordinated fundraising events, or other relevant event planning, I'd really appreciate your input.

Background: Sands, the Uk's stillbirth and neonatal death society, is launching a massive new campaign (Why17? - so named because of the 17 babies who are stillborn/die in the first 4 weeks of life daily within the UK), on March 4th at the House of Commons, to raise awareness & funds to investigate causes of stillbirth & neonatal death, with the aim of discovering something which can prevent future losses.

My first son was stillborn, with no cause discovered, after a "textbook" pregnancy, in 2005; so I have a real personal interest to do all I can to help the campaign.

This is where you come in! I have no experience of running fundraising events, but am organised and willing! So far I have:

- lobbied my MP (have received written response and am meeting with him next week)

-Set up a justgiving page and emailed my contacts and Facebook friends

-not me, but the lovely HPADers are having an awareness day on 4th March

-Drafted a letter to send out to local schools/ Mums groups, GP surgeries etc - anyone who might have an interest in helping

-Drafted a letter to send to celebrities who a) have lost babies in this way; b) are known for their charity work; c) soap actors who have covered this as a storyline

-Got local newspaper support

-Brainstormed lots of ideas to fundraise.

Questions:
- How do I find the best address to send celebrity mail to? ie not fanclub or similar? Somewhere there's actually a chance of them reading it?

- How do I co-ordinate several events? Get media to cover them? Predict numbers for organisation purposes etc?

-How do I persuade people/companies/venues to donate goods/services for free/discounted price? Any tips?

- Some events I'm thinking of (theme of the campaign is the no. 17) : 17 hour danceathon; 17hour sponsored silence (great for schools); dress-down dyas/coffee mornings etc held on 17th of the month, people pay £1.70; abseil/bungee 17 stories; multi-ability swimathon ie swim 17metres, lengths, km etc depending on ability; getting local theatre group to do condensed Shakespeare into 17mins(!) - or, my dream would be to get the Reduces Shakespeare co. to do it! and lots more.

Any suggestions/ideas/pitfalls to be aware of? Any input at all is appreciated. I may be on and off today as I have 2 very grumpy children, so if I disappear, I'll be back.

It is probably worth speaking to the sands people fundraising and pr coordinators - at the very least they should be able to help you with the press side of things - they will already have a list of celebs who are willing to help or be associated

? janey. i should have said, I've already been in touch with the Sands pr folks. they're happy for me to take the lead in my efforts, and they'll supply me with materials etc.

I got their list of patrons too, so they're on my list to appeal to.

    HI Macca,

Wow, that's a lot to take on! I'm an Event Planner and I'd be happy to give you a hand with things if you like, its a really worthwhile cause that I'd like to support. If you drop me an email, I'll put some ideas together.

You will need to send mail to celebs through their agents - you can get lots of them here

    https://www.spotlight.com/

the main thing is that however good or worthwhile your cause - or however much people have empathy for it - when they are giving stuff away - time or services -they will need to get something back

your publicity is the key so i would make very good friends with people on the newsdesks of your local papers, tv and radio - talk to them and find out when you have the best chance of getting good coverage - how they can help you - what kind of stories they like. try and talk to the same people each time and keep phoning

lots of good photo ops - happy colourful child shots etc, strong human interest - your own story and others similar if you can find them - local celebs lending support etc

once you have that you can offer something to your local businesses etc

Thanks janey. I'm looking at that website now, and you've given me some great points there. I'm lucky that my MIL actually writes for the local paper, so has already spoken to her editors etc about doing some coverage. I hadn't actually thought about local TV, so thanks for that. What about bigger shows like This Morning, GMTV, Lorraine etc - how is best to get them to do a piece on the campaign?

The only experience I have is with organising small fundraising events for my local NCT, and I'd say that it is much easier to get goods/services from local companies than big companies - most of the big companies have agreed charities that they donate to.

It has been a while since i dealt with them - but this morning for example have or had an editor for each day - and to an extent they deal with particular types of story/topics on particular days .

i dont know how 'big' or organised sands are but i would be really surprised if they were doing a major awareness campaign without having contacted these kinds of programs - but who knows

i would find out if they have - and if not the way forward would be a call - find out who the best editor is - email them the press info - talk to them about the story - see if you can make something work - be prepared that they are going to want you to go and talk and tell your story if they go ahead - get onto it asap though - because it is only going to be a national thing if you tie it up with 4 march launch
