Evening invites - no RSVP?

Mellow_Yellow, 19 August, 2011 at 11:16 Posted on Planning 0 11

We get married in May, and were planning to hold off until about March before sending out the evening invites.

We will be sending invites for roughly 120 people altogether (including people staying from daytime) and have arranged a buffet to cater for 80. I don't really need to know numbers, as our venue holds about 200, and I reckon a buffet for 80 would probably stretch to 120 - although we don't anticipate that absolutely everyone would be able to make it anyway.

Do you reckon it would be acceptable not to bother with RSVP. Or should we include RSVP details but just not bother to chase?

I think that we will most likely have between 80 - 100 in the evening, it would be highly unlikely that absolutely everyone could attend (through great if they could).

What % do you reckon I should cater for? I though 75% was the norm, but could be mistaken.

Oh, should also add that the wedding cake will be in additon to the food for 80, so one tier fruit, one tier chocolate, and one tier lemon sponge will also be available.

We've been told to cater for 75% of guests for the buffet. Some may have eaten before hand and the wedding breakfast will have only been a few hours before which should hopefully fill our day guests up who then won't eat as much (hopefully!). Every buffet I've been to, there has been food left over.

I asked ebening guests to RSVP but haven't bothered chasiong them.

there was a minimum order for evening hog roast and our total guests are looking to be only 3 or 4 more so we'll have plenty of food.

That said it annoys the hell out of me that people are incapable of RSVPing ?

We included RSVPs for our evening invites, got most of them back and ended up with more people coming than we had invited! We didn't mind this and it wasn't (thankfully) a problem (we only had about 20 more people invited for the evening, about an extra 10 turned up) space-wise - as we were quite space restricted!

We provided an evening buffet but the wedding breakfast only finished at about 8pm, the buffet was served around 9.30pm and was barely touched, sadly! I think it was appreciated - and it was included in our total price so we had no reason not to offer one - but it did feel a bit of a waste of some really lovely food (we did a cheese & pate board and the caterers put on an amazing spread).

So in conclusion - I would include RSVP details but don't fret if you don't get them all back, and don't worry too much about under-catering (unless your evening do starts really early)!

I didn't include rsvps with my evening invites, but almost everyone either told us in person whether they would be there, called/e-mailed us or sent us a card.

WSS. We didn't even bother putting a deadline on, as the venue only needs final numbers for the buffet 2 weeks before. Most replied within a couple of weeks of getting the invites though!

It might be worth putting an RSVP on just to get a clearer idea of numbers - we initally invited 200 (maximum numbers for the venue were 200) and initally told the caterer that we expected the numbers for the buffet to be 150 max but would confirm nearer the time, when we needed to pay balance. We ended up with 150 yes replies, 50 no's, so we dropped our numbers for the buffet to 120 (saving ourselves 30 at £8.75 a head). On the night about 25 didn't turn up (some have apologised since with good reason, others haven't been in touch since!!), there was buffet left at the end of the night, but in a way it was a good idea that there was a little left really. Think if everyone had turned up they would've had to be more careful on what they had, although quite a few of the guests did have seconds and most of the desserts went. Ours was a pretty decent buffet where guests helped themselves, yet a work colleague of my husbands, had her wedding a month before us and the hotel had staff serving the buffet with guests only getting 1 of each item, with only garlic slices, samosa's, a chicken drumstick, slices of quiche and sandwiches as the choice (and she's paid close on £15 per head !!).
