Feeling a bit uneasy - money related, not sure what to do.

I am in a sports team. I seem to have managed to saddle myself with the job of treasurer. Actually I agreed to take it on to help a friend out who had too many things on.

Anyway, I was doing ok with that, just collecting subs at the start of each month. We're just in the process of buying kit and somehow i've managed to get roped into collecting all the money for that aswell. Some of the players are fab at paying on time, some turn up and say will pay next week then don't turn up the following week and so it goes on.

Anyway, i've got really confused in the last week, i'd been on holiday, got back and everyone was thrusting money/cheques at me left right and centre. I'm trying to sort all the money out but I think somewhere i'm about £20 adrift. I know if I mention it no-one will be too concerned and they'll just keep saying they trust me but I feel really uneasy about it, i'm finding it a responsibility but one that no-one else wants so I'm stuck with it. I've tried to tell them can they all please pay on time to make my life easier. I'm not really sure what I'm asking really - if I can't work out the £20 situation should I just write it off and start afresh and try and keep on track in the future or should I double check what each person has paid by asking them? I just know if I try and do the latter half the people won't remember when and what they paid me last and it'll probably end up more confusing. Argh, I really have this on my conscience.

    Do you issue reciepts?

    if so I would check through all of them and make sure the amount on the reciept matches what you've written into the accounts - could ba as simple as momentary getting your numbers mixed up

    if you don't issue reciepts I would start doing it asap.

    As far as writing off an amount, that's really something that should go to the committee as a whole, and be recorded in the minutes of the meeting that it's been agreed

    Committee? minutes of meeting? erm, they're not really organised enough for that.

    I don't issue receipts, no. That's not a bad idea, at least i'd have a paper copy. I have a spreadsheet with names and dates and just mark off when people have paid but again, with being off and apparently the team didn't play the one week I was off so said subs weren't payable, it's all gone a bit t1ts up.

    This is how they are: i agreed to set up a bank account, I had to put together constitution and business plan to open the account, I managed to cobble something together. If the lady who started the team had her way i'd have sole responsibility of the cheque book and cheque guarantee card. I wasn't prepared to do that so 4 of the committee have cheque cards but they don't want to hold them, they want me to keep them all and when I asked if one of them could sign a cheque they were puzzled that I couldn't do it but I'd already said I wanted another signature so I didn't have sole respnosibility [banghead icon] I made one other committee member keep her cheque card.

    It sounds like a bit of a nightmare, I think someone (it'll probably end up being you from the sounds of it, but you could see if you can find an outside organisation to help) should have a bit of a word with them about the roles and responsibilities of a management committee

    they need to understand their legal responsibilities and liabilities

    In all honesty, if it was me, I'd be double checking all my figures and making sure the £20 was definitely missing, then if it was I'd be cursing myself and putting it in. I'd then be making sure I kept better track of who gave me what next time. I know it's hard when people crowd you to give you money, but you have to be firm and take your time and ensure you have a record of exactly who gave you what. This is especially important if it's cash rather than cheques, which can be traced back.

    I thought about putting the money in and then thought why the hell should I? I was up to date and everything was fine when I went away then I turn up last week and get post dated cheques, promises of bank transfers and everyone paying something different, as well as them deciding not to charge for may meaning I have to give money back. Argh.

    I'll try and go through everything again and see if I can sort the mess out. I'll then buy a receipt book and give receipts as and when I get payments.

    As you have agreed to be treasurer, no one can object to you laying a few ground rules, and I think you need to do this for your own peace of mind, never mind anyone elses. I woul make sure I had a proper record book to record monies in/out,. and issue receipts for those people who pay up. I would maybe print something up for people to take away as a reminder of the paying process, what's owed etc. And I would also suggest that people who haven't paid up won't be able to access the enw kit until they have. I'm no accountant, so there may be other things yuo can do that will help ensure everything is above board and easier to manage, too.
