Guest accommodation at the venue

Cupcake26, 25 March, 2014 at 20:14 Posted on Planning 0 7

Hi

After reading a post on here today about their venue giving out rooms to an event on the same day as their wedding and there not being any rooms left for their guests it's got me thinking about ours. We're having our whole day in one location. There are 35 rooms there, but these are open to members of the public on our date too, we don't get any reserved (apart from the bridal suite). I was going to put in the invite (thinking of sending out January for August wedding) that they can book to stay over at the venue or there is a holiday inn down the road. Is this early enough? I'm not sure now. I don't want close family members to miss out so was thinking of texting the key people saying that they can book a room now and then putting in the invite for everyone else. Would this work?

That's what we did - gave the booking reference to our parents, bridesmaids, best man and usher about 3 weeks ago and they booked their rooms. All other guests have received the booking reference in their invite.

If you're getting married on a Friday, Saturday or even a Sunday I would deffo give key people the heads up now so they can book their rooms. We get married on the weds after next Easter and have booked a number of people into our venue already as we don't want to take the risk. If there's a Holiday Inn close by then that will all help.

    Hi,

I'd do as you've suggested and text the key people and put something in the invite for the other guests. My venue is the same size as yours and our guests started booking their rooms around Feb time for our June wedding xxx

Thank you that makes sense - just thinking how far to broaden the information to. Obviously will let parents, bridesmaids, usher and best msn know and maybe OH grandparents but the rest of my family live a few hours away so should I give them the heads up too?

If there are 35 rooms available at the venue, I'd give your top 35 nearest and dearest couples the heads up, and try and monopolise the place!!! ?

Definitely start mobilising the troops. Whilst it's not a disaster to have other people at your venue, seems a shame when it's so small to not take advantage of that and get things booked out now, or at least that has totally been my philosophy in planning.

We're lucky in that we've got a block booking, but have still let our family know the venue well in advance, some of my lot booked in November before we'd even finalised the number of rooms the hotel was setting aside for us, and OH's family are currently having a conflab about how many rooms they need and we'll have them booked by the beginning of April. (Apart from a few renegades, who we're corralling at the moment)

We're looking at final ideas for invitations this weekend, which means I can also focus his mind on the wider guestlist, so once that is done I will send out some email Save the Dates to key friends/ evening guests as well (we're having a small family wedding, then a bigger evening party due to room sizes at our venue) and let them know about the block booking too.
