How many venue meetings?

Starlight85, 8 April, 2011 at 10:14 Posted on Planning 0 12

I have seen my venue once since I booked and they are showing no signs of wanting to meet again until May and then the day before the wedding. The lady who discusses your wedding isn't just their wedding co-ordinator, so I know she is busy, but wouldn't you meet your venue more than this? She wants to do everything via email, despite telling us when we booked that she has once done a wedding entirely by email and making it sound really unusual. I'm just worried that we don't know lots about what is going to happen on the day and how the venue is going to look.

Is this just me worrying over nothing or is everyone else meeting at their venue more often?

Thanks in advance

We booked in April 2010 and went back to pay the deposit / sign the contracts etc

Then we went last week to fill in some basic paper work eg: How we wanted the room lay out, arrival times, extra's we'd want etc and then he will speak to us 4 weeks before to confirm numbers etc.

That said, we emal probably once a month - usually me with a silly question.

We visited the venue for the first time last September and loved it so much that we booked it on the spot!

However we unfortunately live about 200 miles away from it but are going down again over Easter, this will only be the second time we have seen it, and the first time since they built a new exclusive wedding venue extension – they had previously just used the bar & restaurant.

We will probably book again for early July, to go and finalise menu choices etc….but then probably won’t go again until the day before the wedding in September.

We visited and shortlisted to two venues.

We then had a formal meeting with both venues, with my b2b's family in tow to help us - both had their pluses and minuses, and in the end one won over the other.

Everything else so far has been done by email with one of the duty managers (both of them know us very well by now...)

We're meeting our photographer at the venue in June so he can suss the place out and we can chat over some options with him, and a few things we need to clarify with the hotel.

We will have another meeting with the venue a few weeks before the wedding to finalise everything. Whether or not this is their standard procedure or not, this will happen. We are the paying customers, therefore the hotel will do as we require of them.

We went once to see it (over a year in advance) and provisionaly booked a date there and then. We came back again a few months after for the open day-was our own choice though, to take PIL to see it and confirm the booking/pay deposit.

We got a letter in the post saying the second deposit was due, posted that to them etc.

No contact other than asking for money so I phoned them as its not long now and she said we can come to choose menu and confirm numbers anytime as long as its no later than 2 weeks before wedding. They didnt say we needed to come there though i just said we would.

Our venue has been decorating too so just hope I still like it when we finally see it again!!!

Not very often to meet the co-ordinator but have been to a wedding fayre there & took our photographer there so they would see the place & get ideas. We went once to look around, once to pay deposit & then to discuss final details, numbers etc a few weeks ago & we'll go again in a couple of days to pay final balance of food etc. I don't think what you've said it that unusual although I did have a point a couple of weeks after booking where I was worried we wouldn't be back there for ages I think that's just natural excitement to keep seeing it though!

We viewed and booked our venue with 2 years to go, then went back with 1 year to go to just touch base and toss some ideas around. We went back a couple of weeks ago to talk about menus, layout, drinks and to show the PILs We'll be going back with TOG, cake lady. my mum and BMs at some point soon, then the day before to set up. But we do a lot of communicating with our co-ordinator over the email and phone.

We booked our venue in November and I have been back there since the initial meeting 4 times. 1 was for first viewing, 2nd for negotiating and deposit, 3rd was with florist and 4th was to take pictures for me to refer too. We will go back for tastings, TOG & VOG meeting and chair cover lady meeting before the wedding We mostly communicate by e-mail but we are welcome to come anytime and bring family to have a peek as long as we let them know first. It does help that it is only 15 minutes away from my house.

Ah, i wouldn't worry too much! iwent to view it, then went back with OH so he could see it (as he does have a small say in these things - although not much!!) and we booked it on the spot (that was jan 2010) and went back 2 weeks ago to discuss the day, and also arranged to meet the photographer and singer there at the same time as we thought this would help! will not be back up there till the day before the wedding to set up (or the morning of the wedding if they get a booking for the friday night - fingers crossed they don't!)
