Looks good to me - you've got enough buffer time for slippage with long drinks/ free time period as well.

Why are you and the BMs arriving so early? Are you getting ready there? How will you manage to keep separate from your fiancé when he arrives? The rest of it looks ok.

This why are you planning on getting there so early?

If it's to get ready you'll probably need to get there earlier to allow time for hair and make up! Unless doing this else where of course.

Yes, I will be having my make up done at the venue and the BMs will be doing their own (at the salon for hair first) and of course getting dressed. The venue is very large and we will be upstairs whilst the ushers will be downstairs..... My Mum will be with me to do any tasks that may require going out of the 2 rooms we will be in upstairs Smiley smile

4.15-6pm for afternoon tea might not be long enough. You'll need to allow time for everyone to sit down, which depending on numbers can take around 30mins, then we've been told by our caterers to allow up to 1hr 30mins for the afternoon tea itself. Speeches also usually take around 20mins depending again on how many people are making a speech. So by that you'd need to allow an extra 35mins for the afternoon tea party & speeches etc.

Hmm... at our origional venue meeting they said usually 2.5 hours for a formal sit down meal but as the afternoon tea is very relaxed (ie first round sandwiches, second round cakes) she said 90 mins in adequate. I added 15 minutes as there will be 5 speeches.... hmm........

I could ask that around 4pm, the MC announces that it is 15 mins until people need to be seated so please start making your way to the bar area (we're keeping the room locked until 4:15pm - H2B and I will go off at 4pm to get a good look at the set up and layout before its decended upon, then head upstairs just before 4:15 when the doors will open.

Then about 4:20 when everyone is seated we'll be announced down the stairs as husband and wife... cant wait for that bit!!! =) This is the room and the stairs at the back Smiley heart Smiley heart

It looks ok until dinner, i think you will find the time between eve do, first dance and buffet opening quite tight . We have very similar timings to you but ours goes as follows

    4.15 guests seated for dinner

    4.25 B&G announced

    6.30 speeches

7.00 coffee etc in reception area while room is changed around

    7.30 eve guests start arriving

8.15 cake cutting followed by first dance and straight into band first set

    9.00 buffet opens

Ok, in my experience (I'm a chef at a private school which also holds weddings and charity dinners), even for the most informal of dinners it can take at least 15minutes for people to get into the room, find their seat, get settled so the 5mins you've allowed there for this to happen before you're announced will be very, very tight. Running late with something like an afternoon tea isn't a major issue because you haven't got hot food going cold but it will have a knock on effect through the rest of your night, which as a pp said is already quite tight. My timings are very similar to yours (although we're getting married in a church so I've had to allow 30mins for travel, so this is ours:

4.30 guests are asked to be seated

5pm afternoon tea served (like yours, first round sandwiches, then cakes and tea and coffee

    6.30pm speeches

7pm leave the room for "mingling" (probably drinking knowing my family)

7.30 back in the room and evening guests start to arrive

8.15 cutting of the cake followed by first dance

    9pm hog roast served

    9.30 first set of band

    10.15 dj

    10.45 second set of band

    12 midnight carriages

i would also say that your buffet could be pushed back a little bit as at present you've got 2 meals served within 2 hours which is very close together.

Beautiful venue by the way, this is ours

Argh, picture should have been at the bottom! Doh!
