'Negotiating' the pub meal quote

After visiting the pub a couple of weeks or so ago and agreeing 4 mains options and 3 pud options off their main menu, plus one alcoholic drink per person (any draught beer, 175ml glass wine or single spirit and mixer), and one soft drink on arrival (orange juice, granadine and lemonade), I've been working out how much the full cost is likely to be given the prices on the menus, and the cost of drinks that were mentioned - £4 per alcoholic and £3 per soft drink.

We've still got 5 to come, but even going on the most expensive option combination for them, plus everyone having an alcoholic drink (we have half a dozen children who won't be having one), I have estimated less than £700, and that's still allowing a bit of mark up on top of the profit they've already factored into the menu price. Actual cost would be nearer £650.

The manager said he'd sort us out a quote, but as I'd not heard I assumed he was waiting to see what we'd ordered before giving us a final price. After all, cheapest combination is £17.20, and most expensive is £20.20.

Have just picked up an email with a quote of £29.95 per person. bringing total cost to £1008.65! Bearing in mind we've also already paid £200 for hire/sole use of the upstairs of the pub, leaving them very little room downstairs, BUT as we knew most of our guests are in their 70's and 80's and have to get trains or drive home and would probably be leaving before 9.30, we said we would be happy to open up one room to the public after that so they don't lose too much business on a Saturday night in August.

So does anyone have any tips on how to approach bringing the costs down a bit? I would have expected a small rise on menu prices, and allowing for some wines being £4.25 a glass and not the £4, but over £300 seems a little steep to me?

    Anyone? £300 above what I was estimating is huge over 27 people....

    If you used the menu to get your idea of price, it maybe that they have added more on because it is a big group booking. Does the £200 get taken off what is spent there? I'm not sure what to advis. You could just ask them if it is the same price per person regardless of which option they pick? At least asking this question might open up the conversation about price...Although they could just say yes. I'm not very good at opening up negotiations so would struggle to challenge a quote but you could explain it is more expensive than you thought and is it the same price regardless of which meal people pick.     When we spoke to them we weren't given the impression there would be a set price per head. We specifically said we wanted to limit the menu options so we didn't have everyone going for the most expensive option, and the OH remembers them saying not to worry too much about menu prices as we probably wouldn't be paying that much, though I don't remember hearing that. The £200 is a hire charge as they are giving us sole use of the upstairs, so that's on top of the price for the meal and drinks.

    I'm very much bull in a china shop, so wanted to think about ways to bring it up rather than just barging straight in there lol. As it is, with the number that has dropped out (we told them there would be a maximum of 45 people and haven't updated them yet), we can fit everyone in the larger room so may say they can open up the smaller room to the public anyway, depending on what OH says, as it will be empty. Might be a way to justify a price nearer what I estimated...

    Maybe you could say what you have written above to them. Basically that you were given impression that there would not be a fixed price per head and ask if they could reconsider the quote once you have given them exact orders. They should consider this especially as fixed price was not what you had discussed. You could also ask them why the amount per head is more than the most expensive menu combination. They may have an explanation but it is definitely worth asking them why.
