Opinions please!

My partner and I are getting married early next year. We have secured our venue, and are finalising our evening entertainment.

We want to have Irish dancers at our reception, and have found a group that we like. Just got the booking form through today, and at the end it states that the dancers (x4) would like food and refreshments at the venue. I was a bit taken aback by this as they are only coming for 30 minutes, and their fee is already quite quite substantial. I have paid for their travel expenses too. We will be serving evening food around the time they arrive, but it will cost us £25/ person. I didn't realise I would have to pay for the dancers food and refreshments too. I would understand if they were with us for longer, and would be very happy pay for food and refreshments, as I will be doing for our photographer who will be with us for 8 hours, so I don't know what to say... I'd love to hear an opinion or two - is this to be expected, or am I being a bit unreasonable?

    I wouldn't be happy about that either! Our band (who are going to be there from 5pm setting up until 11.30pm have only asked for drinks. We'll tell them to help themselves to the buffet but they haven't expected it! Maybe speak to your venue and see if they can make an arrangement for some nibbles or something smaller/cheaper?!

    Is it a generic form that applies to every booking so if they did an all day event they would want food? Might be worth ringing them and see if it does apply for a half hour booking.

    Getting hold of your venue for cheaper options is a good idea too.

    When it comes to food and refreshments, entertainers are not usually expecting anything fancy and certainly don't have to be included within your £25 per person for your evening meal. Even if you are able to provide some drinks and even a plate of sandwiches or something that would suffice! I work with a lot of wedding entertainers and perform in wedding bands myself. When I hear that food & drink is being provided on the night I usually expect slim pickings from the buffet or some small nibbles! Anything extra is a massive bonus and is hugely appreciated - but not expected!

    The other thing to note is that if for any reason you are unable to provide this on the day or decide not to then it is unlikely to be a dealbreaker for your dancers. As long as they are aware of the situation then this is usually fine.

    I hear these concerns a lot when it comes to dancers specifically. I think it's tricky when they are there for such a short performance time but you have to account for the time spent travelling and waiting around at the venue also! It may be 30 minutes for you but spans to hours for them.

    We are having a string quartet and in the contract agreement it says that we have to provide refreshments and snacks/food we are having them for 3 hours which we said was fair enough. In your case I would contact the dancers and ask if they would want a full meal or could you maybe provide a sandwich. For such a short time I wouldn't expect anyone to pay for extra heads to feed especially if they aren't there for a massive amount of time. X

    If they are only there 30 min then I'd email and ask about that clause. It doesn't make sense.

    Hi,

    Definitely speak to the dancers.

    We often arrive during the wedding breakfast at 5pm and often don't leave until 1am but we wouldn't expect the same food as daytime wedding breakfast guests.

    Couples often provide a bowl of fries & sandwiches from the venue but the most common is an invite to the evening food/buffet which is always welcome.
