Sending Info out with Save The Dates

Morning,

I am starting to think about Save the Dates, we are getting married on the 1st May (2010), which is also first Bank Holiday weekend. Did anyone send any other info with the Save the Dates ? The reason I am asking is because other than OH and me not one of our relatives live in Kent, they are in Lancashire, Devon, Tenerife, New Zealand anywhere other than Kent, so really nearly everyone invited (110 people) will need to stay over .....The venue we are getting married at only has 16 bedrooms, which we have allocated to the wedding party (Parents, sisters,BM's and Ushers) but it's quite a small touristy town, there is only one B&B in walking distance, there is another hotel but it's very pricey and there isn't an abundance of places to stay in the Village, plus with it being a tourist attraction I am quite worried that a lot of the B&B's will get booked up if I wait until January when the invites go out to provide hotel info.

So getting to the point now lol Would you in this situation send out a little more info, like hotel and B&B information ? Then people can look into sorting rooms out in plenty of time ?

    I'm not sure I would send much more information out on the STDs (have a look at the raffle thread - there are some gorgeous save the dates and invitation prizes on there!) I would perhaps think about sending my invitations out sooner rather than later though.

    Purely because I can't see many B&B's and hotels having their dates up for over a year away yet.

    Hiya,

    I wouldn't be sending the Save the Dates until June time anyway, so the hotel details should all be out by then ???

    I am just conscious that there aren't many places to stay around here and there are weddings booked in my venue for the following two days, who will probably be facing the same problem, there are no mainline stations nearby and there are no taxi companies either (only horse and carts lol !!) We don't even have gas and we write with feather quills by candlelight, oh the joys of living the rural life lol

    Oh, decisions decisions I don't particularly want to send the invites out really early, apart from the people living abroad. I will have to have another think about it.

    You could possibly keep that part informal? I know from the STDs I make for clients it tends to be little more than where and when with a "more details to follow" tag line. I suppose you could email your guests after the STDs have gone out - would then give them the opportunity to link through from your email rather than having to put themselves out to go on a computer and search?

    Perhaps put "accommodation details to follow via email" on the STD.

    That's a good idea, I could do that then the links are there for them.

    I was thinking of putting in a typed sheet in the envelope, with phone numbers and room prices and distance to hotel etc. Things that I would put in with the information in official invites, email idea is good though as you say more informal.

    With my save the dates I am sending a map of the location and the telephone number for the hotel that we are getting married in, the onlhy ones that would probably be needing somewhere to stay would be h2b's family as they are coming from London and Australia so the sooner I get my save the dates sent out the sooner they can book their rooms as the 1st 10 guests to book at room get a discount.

    Some of my friends will be staying at the hotel but the majority of our friends and my side of the family will be going home which is why I will be arranging a coach or 2 ?

    Hey Debs,

    We had to book all the rooms in the hotel and pay a deposit, but when we allocate the rooms to the parents etc, they phone up and book the room we get the deposit money credited to the cost of the reception so it means we have got exclusive use of the venue.

    My problem is everyone who is coming to the day reception will have to travel the day before and stay overnight, which is why I am thinking they need plenty of notice to book somewhere given the lack of accommadtion and the amount of rooms they need. Everyone is seeing the wedding as a mini holiday which is great, if they have somewhere to sleep lol !!!

    I set up a wedding website and put as much info as I could on it and then put the website address on the STD

    I did my website through www.weddingpath.co.uk - v. easy and free!

    I'm getting married on 2nd May 2009, so the first May Bank Holiday as well. We've found that a lot of the B&B's impose a minimum 2 night stay just because it's the BH weekend, so you might want to prepare you guests for that possibility as well....

    Kelly, good point I am sure they will do that around here, so the people who are getting married the day after me will also encounter that problem. Another reason to advise the people who need to book rooms to book earlier rather than later. I know I can't and shan't be responsible for everyone booking their rooms but I don't mind getting the info together so they can make the choice themselves whether to book early or not.

    I wouldn't expect to get that kind of info in a save the date - as far as I'm concerned they are more to hold the date in the diary, nothing else.

    TBH I didn't bother with save the date cards, nice but an unnecessary expense IMO - I sent out an email to good friends and parents told families once the church and reception were booked, about a year in advance. Another friend sent hers out in email form and attached a spreadsheet with local B&Bs, hotels, and taxi numbers.

    Is your venue the Hop Farm, by any chance?

    As others have said I have seen it done as more info in an email or on a website. I am getting married in a rural area with no venue accommodation, limited hotels in the area, taxis you have to book 2 weeks in advance and everyone will need to stay in the area at least one night. At the moment my preferred plan will be to nominate 1 or 2 hotels within 20 minutes drive and then provide transport.

    I currently plan to send STDs in my Christmas cards this year (for Oct 10 wedding) and say something like "formal invite with lots more info to follow but as accommodation in the area is limited, if you know you can attend then we recommending book accommodation ASAP then the accomm. details etc". Of course I have plenty of time to change my mind on that!

    I have already found it tricky to secure accommodation for a wedding in Dorset in September - the invites haven't gone out yet - so I am glad I didn't leave it until they did!

    I should also say I am a bit of a control freak by my own admittance but I always prefer lots of info.

    No the venue isn't The Hop Farm, but my little man is always nagging to go there and ride on tractors ?!? Not sure there are any there but hey ho lol

    Amethyst, you seem to have the same dilema as me then. There is a Premier Inn about 30 minutes or so away, so I have emailed for prices of coach's to and from there, however it's not the biggest hotel in the world and we are looking at finding a bed for 80 people.

    I am also a little bit of a control freak, I do like organising things, but I would be quite upset if some of my mates from up North couldn't make it as there is nowhere feasible for them to stay because it was left to late. If it's ok I might pinch your wording about booking early ! I am also trying to build the wedding path website, but I am struggling to write something about myself that doesn't make me sound like I am some weird woman who loves herself rather too much !!!!!!!
