Slightly overwhelmed by timings!

Hi

About 2 weeks ago we booked our venue and date - 2nd June 18. Suddenly it seems the venue want to know everything at the 6 months before mark - including outline numbers, other suppliers and so on. We havent even started thinking about these things! We wanted to get the venue sorted first so we can then work out what the rest of it needs to be. They even want us to pay 50% of the catering bill at 6 months when we’ve not even got a guest list drawn up yet!

Ok so I know people seem to plan some things massively in advance - but for us 6 months still seems a long way off. It’s all a little overwhelming how far in advance people seem to want to sort things. It’s definitely not how we do things in our normal lives!

Is is anyone else feeling utterly overwhelmed by how early things need to be sorted?!

    Hi, congrats on your engagement!

    I can’t really comment too much on the timings side of things, I’ll be honest our date is 23rd June 2018 & I started planning in Oct 2016 so will have had 1 year 8 months in total!

    Generally speaking venues don’t tend to need final numbers until 3 weeks before so wanting even rough figures this far in advance does seem strange. Also the 50% upfront is not something I’ve seen before, our venue don’t need food/drink costs until after the day itself!

    Is there perhaps a reason they need this in advance? I would contact them & just say you haven’t sorted anything like that out yet but is there a reason they need it now.

    We are getting married in May and all of our suppliers have asked for outline numbers at this stage, I don'tnt think it's that strange, catering for 30 people is a different beast than catering for 100+. They will have to consider staffing, capacity for other bookings they might even have an upper/lower limit of how many they can deal with.

    You must have some idea of the number to have booked a venue the right size? All of our suppliers (bar/catering) have been happy with "about 70". As for the 50% deposit our caterer created one based on outline info (70 people) and will adjust the final invoice once numbers have been confirmed. So if we have 80 we'll have a few more to pay for, if it's 65 then a few less.

    It is all a bit overwhelming when everyone seems to want know everything straight away!
