venue catering

I would like to surprise my H2B with a VW camper ice cream van at the reception.

I have found an amazing venue which we will be visiting next weekend. when looking at the venue's website I've seen this FAQ:

We would like to have a sweet cart at our wedding, is this allowed?

Yes, sweet carts/tables are permitted. However, other than sweets and the wedding cake, clients are not permitted to bring any food into the venue for use during an event or book any alternative suppliers to provide food or beverages.

At first, I thought this would apply to the ice cream van but have been thinking about it and although it is food, it is not the food the catering will be supplying and should not affect their service. If the ice cream van was set up where the venue allows I can't see there being an issue.

I would like some feedback and advice before we visit the venue so I know what to say to them.

If anyone has come across this before, please let me know.

    That wording says "no" to me but you should ask them. Just be prepared for them to say no. :/ xx

    That's what I thought! Smiley sad I was hoping that maybe because it is not affecting the catering and provided I could get the van to the location without ruining the venue it may be okay. xx

    I thought it might be ok, unless your venue sells ice cream during the day and they'd be losing profit i'd imagine it'd be fine...

    It's not like it's food you want brought in as an alternative to what you're paying for like meals / drinks etc.

    Maybe not could be wrong but ask anyway, worth a shot Smiley smile Our venue sounded quite strict about food and they're letting us set up a dessert table, give alcohol as favours to people and bring in millies cookies etc so hopefully you'll get the all clear!

    Only one way to find out: ask! And if you want to do it as a surprise, phone them up before you go and ask by telephone - I'm sure they'll be happy to help.

    There are many amazing wedding venues in Essex London which allow third party caterers. You can discuss with your caterer at the time of hiring them. Ask them to bring your favorite food, sweets and wedding cake on the wedding day.

    That's def a no. My venue states this
    Can we have an ice-cream tricycle, chocolate fountains or an evening hog roast?
    Should you wish to have any of these at your party we organise this for you.

    To be fair my venue price is very cheap even at peak times and I think they make their money on supplying food and drink. I wish id done my research a bit more before we booked but the venue is worth it so speak to the venue and ask them if they supply an ice cream van and explain that you really want a VW and see what they say. Always worth asking x

    My venue would say a definite no too - I had a clause like that in our contract, and they have been super strict about it. We're not even allowed to bring any alcohol onto the premises that isn't supplied by them.

    I can understand their reasoning though, I think it's in part, to tie you in to their costs, but also to maintain quality control. If anyone (god forbid) got sick as a result of the ice cream van, under the venue's insurance could they be liable for it? I know a lot of food standards places will prosecute if anyone gets sick at an event, and to mimise this, perhaps that's why the venue say no.

    also in terms of fire safety and evacuation (I sound so boring), perhaps they cannot allow a van like that onto their site. Has their equipment been PAT tested, could the van obstruct any escape routes, that sort of thing.

    Our venue only allow specific suppliers too - right down to a choice of florists and photographers. These people know the site, and are familiar with it, so are unlikely to damage anything there. I guess they have to factor that in too. And on the day, the staff don't want to be directing people around the venue, they want things to look slicka nd smooth.

    Sorry, my answer was pretty dull. It can't hurt to ask, but don't be surprised if they say no.

    Mm, it won't hurt to ask but be prepared for them to say no- although I think it is a fantastic idea. I think they may take issue with it affecting their business.
