venue - maths is making my brain hurt

Hi all,

We had my planning meeting last week with our venue and we had asked about our minimum number requirements. At the time of booking this was set at 40 people but we only have about 33 coming. I had mentioned it to see whether we would be made to stick to it as I dont really want to pay for guests who arent there and would rather spend more on drinks or canapes or soemthing. The events co-ordinator has come back to confirm that we dont need to worry about the minimum number and that they will set a minimum spend at the bar. So now I have a few questiosn regarding this but I'm not sure how I should be asking them and I'm looking for some advice from those who have this set up with their venue?

Our meal is costing £38.95 per head, we are also having drinks after the ceremony - a mix of prosecco/a cocktail/glass bottles of coke, the average price of a drinks package is £15.95 although I'm expecting this to be more given my range of choices. We will then be having probably two white/two red bottles on tables at dinner (5 table) and again soft drinks alternatives. and the average price of house wine is £14.95.

Do i work out the difference between this package for 40 and the package for 33 and negotiate to spend the extra at the bar? Or would venue's normally set a seperate limit at the bar ON TOP of what we are paying in drinks/meals. Also what other things do I need to ask the venue about the minimum spend rather than the minimum number?

    They want to make a certain amount on the day.

    If you are 7 people down on their minimum then they lose the profit element of that without dropping significant overhead. Instead of charging you for 40 people they have offered to put a minimum spend on the bar, which means that you will only pay for your 33 guests (meal and drinks package as arranged) but that they need to make a certain profit on the pay bar in the evening. If they don't make this minimum then they may ask for a little extra from you to make this up.

    This is a good thing as they are not asking you to cover anything up front. I'd ask them what the bar minimum is so that you have some idea at this stage.

    UPDATE: I got a minimum spend of £300 at the bar quoted, which seems amazingly low to me! that like £10 per head which people will easily spend at a wedding, wont they?
