Catering on a budget

So we've just booked a venue we love and is a good price, but it is venue hire only and so now need to look at hiring catering and a bar in. We thought this would be cheaper than having to go with options restricted by the venue, but we're still finding it really hard to work out what to do for catering.

I love the idea of a sit down meal and have considered afternoon teas, grazing boards etc but you then need to think about hiring crockery, service/clearing etc and I think this will end up being really difficult to manage on the day plus lots of sorting before/after the day. We've also thought of a catering van and everyone gets food and sits down to eat it, but even then there will be paper plates etc to be cleared. Is anyone doing something similar and would be able to share how they've managed this? Is it worth just paying for a caterer who does a sit down meal with service/clear-up to save the hassle, or is there a good alternative that won't mean my family/friends (or me) are clearing up on the day?

    Congratulations! We’ve hired external caterers and we’re having canapés, a sit-down 3 course meal, and evening food. Our caterers provide: an event manager, staff, glassware for the day, cutlery, crockery, tablecloths, napkins, and serve all food/drink during the day, as well as clearing up. We’re responsible for the removal of rubbish/recycling the next day, glassware for the evening (which we can hire from the caterers) and we’re paying to upgrade to different coloured linen. We contacted a few caterers for quotes and they all included white linen, glassware, cutlery/crockery and staff. Some included VAT in their prices and some didn’t so I’d recommend watching out for that as it made a big difference to the quotes we received! You could ask your venue for a list of their recommended suppliers (or suppliers that have worked at the venue before). If they don’t have one, you can look at websites for other venues in the area to see which suppliers they recommend (we found that lots of venues recommend local suppliers so it wasn’t hard to find caterers).     Hi Harriet! love your thoughtfulness around logistics! Grazing boards or afternoon teas can involve a lot of plate hire and clean-up. A buffet-style caterer is a great middle ground—easy set-up and clear-up without full sit-down service.
    Have you thought about waffle house catering ? They offer a food truck or on-site waffle and hash brown stations, handle everything from cooking to clean-up, with a $90 flat rental plus about $50/hr mileage and per-person pricing.
    I saw several couples rave about it being fun, affordable, and hassle-free—one even called it a “huge hit” at their wedding.
    It might be the perfect casual, budget-friendly solution so no one ends up stuck clearing plates!”

    Totally understand where you're coming from, we had the same dilemma with venue-only hire and didn’t want family dealing with logistics on the day. We ended up going with a small team that offered full service, including setup, serving, and clear-down, which made a huge difference. If you’re based nearby, looking into London event catering services that handle everything might be a less stressful route than DIY or piecing things together.
