Do we need a table plan for an evening buffet?

kingfisher1923, 7 September, 2012 at 13:54 Posted on Planning 0 6

Hi there, I’d be grateful for some views or advice on the above. We’re having light refreshments (cake reception) after the ceremony at the church for everyone who has come along, and then the ‘invited guests’ (about 150) will come to an evening reception with a buffet and band etc. The food will be served in a separate room next to the main room to keep it cooler. The room only takes 150 max, so we’ll be pretty full to capacity! And there will be a mix of round tables and rectangular ones. The plan is to serve the buffet fairly early on, then have some music, then stop for cutting the cake and some short speeches, then more music etc.

My thinking is that we don’t need a table plan, and we just let people sit where they like, and mingle/move around etc. But I wonder if there are any flaws to that idea, which I haven’t thought of? Also, I’m not sure whether it would be a good idea to set aside one table for us (or us + parents and BMs/Best man??), or whether we just sit ‘wherever’ and mingle as well.

Would be grateful for any thoughts or experiences? Thanks so much!

We reserved a table for us (along with my parents and the bridal party) purely so that we had somewhere to base ourselves and to ensure that we could sit down if we needed to. So glad that we did as like you, we have a capacity of 150 and 170 invited! To be honest we didn't spend a lot of time sitting down, but it was nice to know that there was a chair available if I wanted it!

Hi there- we have had the exact same wonderings as we are only having an evening with buffet as well. We decided to put by tables for us and family and thought it may be a good idea to do a couple of long tables so people would have to sit together and mingle? I'm still undecided.

I think with that many people I would at least assign them a table, you don't necessarily have to sort out who sits where on each table. Otherwise I imagine you'll end up with people having to split up because the tables haven't fully filled and there is the odd seat left over.

As you are doing speeches i would have a table plan, you dont want people standing up for speeches so to ensure everyone has a chair its best to do a seating plan...also if you have everyone getting the food at the same time you might end up with odd numbers sitting on tables leaving 2 seats when a family of 3 need to sit down meaning they will have to be split up etc...x

Thanks so much for all the replies - sorry for the slow reply, but I was away from the computer at the weekend. I might wait and see how many guests we end up with - if we are near to capacity, perhaps I should give it a try (argh), but if we've got some room to play with and can put some extra chairs out, then hopefully people can sort themselves out....
