Evening guests - extra cost?

Chloe, 19 September, 2022 at 09:35 Posted on Planning 0 8
Hey! I haven't picked a venue yet, seeing my first one in November. I was just wondering, so I can prepare myself, do you have to pay extra per guest to arrive in the evening?

Hi, for ours we have just had to factor the evening guests into the cost for the evening food. We are serving pizzas so it’s gone off a percentage of the total guests that will be there rather than cost per head - not sure if that will be the case for other venues as well as not everybody eats the evening food after having the wedding breakfast! I know weddings I’ve been there all day for I haven’t touched the evening food. But I don’t think you have to pay for them to be there it’s just the cost of the food which will go up as there’s more people to serve.

    Thank you!
I went to a wedding all day and didn't really touch the evening bits.

Where we are looking the evening buffet is included in a package so didn't know if could get away without having to pay extra costs for evening guests. 3 course meal is a lot of food so was counting on people not being starving for it to cover lol.
Any cost cuttings to take hehe

It's a great question to ask at any venues you visit - most will have a package based on a set number of day guests and a set number of evening guests and then have a price per person for anyone extra you need to add - the venue brochure then usually tells you how much extra it will be per evening guest if you go over the number included as standard. Don't be afraid to have a discussion around costings and what is included when you pick your venue - our standard package price was based on 50 days guests and 70 evening guests, as we have no evening guests we then negotiated a bespoke buffet with an additional cheese board order at no extra cost. It's also worth asking to see gluten free/vegan/child menu options etc (even if you don't need them) to get a sense of how flexible and inclusive a venue can be - best of luck finding your place! x

You do, but is way less than the day guestsm ours were £80 for a day guest and £22 for evening additions. When catering for the evening you only need to cater for 75% of your total guests. So if you have 100 in total for the evening then you can get away with ayinf for 75, if that makes sense. We paid for 80 people's worth and had 125 people and it worked fine as the day guests don't have that much as they had only had the meal a few hours before. Speak to the venue's though and see what they offer, some will do all in packages, but it is worth asking if you can have a list of the price of each element of your day. We did that and ended up building our own bespoke requirements package, as we had a lot of people that didn't drink which meant we were paying for alcohol we didn't need and we had lots of kids. By the time we costed the items we needed for our numbers based ing on the element pricing we ended up saving £1500. Some venues will allow it but some won't, is always worth an ask

Depending on the venue and dependent on the package then possibly yes?

For example at the venue i work at our package numbers are 50 in the day, 100 evening. If any of the couples go above those numbers then it is chargeable per head above the 100.

With our venue, we have been given an amount of people who can attend the day - so we were given 60 people and then a price per person for anyone over and then same for the evening but given 100 people
