How to work out numbers for an evening buffet.. Help please.!

KEG, 21 January, 2009 at 15:34 Posted on Planning 1 17

Hi, I was just wondering how people have worked out numbers for their evening buffet? I still havent recieved alot of rsvp's for the evening, do you under cater, or over cater, and by how much? We are having bacon baps and sausages, so not your typical buffet.

Any ideas please?

We are having the same food and got told to estimate for 80% of guests. So we will have 100 guests and cater for 80.

Our venue recommends catering for 80% of our total number of guests in the evening. i think it also depends on how many more people you are inviting to the evening - if you are having relatively large numbers of evening only guests you might want to cater for a bit more than 80% as they won't have had the big main meal.

We have to cater for a minimum of 75%. The buffet is included in the price of the package and we're planning on having around 95 people, so that means we can have around 130 for the evening without having to pay any extra. I hope that makes sense ?

We were told by our caterer to cater an evening buffet for 50% (150) of our total number of guests as 100 of them had just been given a 5 course meal a couple of hours before hand. We still had some left over at the end of the night.

This is a good question as I had been wondering the same. We are having 60 all day guests including some children, and then a further 60/70 for the evening. We were thinking of doing a buffet for 80. Just going from personal experience - there's always loads left over at every wedding I have been to, and if I have been there for the sit down meal, I've always been so stuffed I've only wanted a few bits off the buffet.

We are also haveing bacon sandwiches on the evening for our buffet! Approx 80 in the day for the wedding breakfast and an extra 20-30 people on the night so will prob cater for 90. Hope this helps

When planning an evening buffet, I’ve found it helps to think in terms of balance rather than just headcount. You estimate how many people, then check which dishes might become the “pressure points” if demand is higher than expected. It’s a bit like performance planning in other areas too. I recently came across this Bottleneck Calculator that explains the idea well spotting weak links early saves waste, money, and last-minute stress for everyone involved. https://bottleneckcheck.com/

This can be tricky, but a good rule is to cater for around 70–80% of your evening guests, especially since bacon baps and sausages are quite filling—about 1–1.5 portions per person usually works. It’s safer to slightly over cater than run out, but not by too much. You can also use quick tools like http://ti-84calc.com to estimate portions easily.

Planning food quantities for events like an evening buffet often comes down to estimating attendance, expected appetite levels, and the type of menu being served. When the food selection is simple such as bacon baps and sausages rather than a full buffet spread it becomes even more important to strike a balance so that there is neither shortage nor unnecessary waste.

A common approach is to base portions on confirmed RSVPs and then add a small buffer to cover last-minute guests or slightly higher consumption. Lighter evening menus may require adjusting portion sizes per person rather than strictly increasing total quantity, which helps maintain better control over preparation and cost.

In situations where quick estimation is needed for planning quantities or dividing resources fairly, reference calculators like Calculator can be helpful in structuring basic numerical breakdowns and making fast planning adjustments without overcomplicating the process.

We had similar food at a party once and it actually disappeared faster than the fancy buffet stuff 😄 Bacon baps and sausages are the kind of comfort food people keep coming back for later in the evening. I’d probably cater slightly over rather than under, especially if guests are drinking and dancing. Funny enough, balancing food events with fitness goals is why I sometimes track my training progress on dotscalculator.com/ too 😂

When figuring out numbers for an evening buffet, it usually comes down to balancing estimated portions per guest with a small buffer so the food doesn’t run short or get heavily wasted, and people often base this on a per-person breakdown rather than guessing. Once you have a rough idea of cost or quantity per head, tools like an en línea calculator can help structure the overall budgeting so you can scale it easily across all guests and adjust for extras depending on appetite and event type.
