Suppliers - local to me or the venue?

Sian, 3 January, 2023 at 21:53 Posted on Planning 0 12
Hi all,

I’m in the early stages of planning our wedding for 2024, and I’m realising I don’t know how things normally work as none of my friends are married so this is my first experience of planning a wedding.
We’ve confirmed our venue; it’s 2 hours away from us, nearer to my hometown. I’m wondering if it’s advisable to search for suppliers local to the venue or to us?
I’m mostly thinking about the following:- Wedding cake - Photographer - Florist - Decorations (although might be ordering things online anyway) - Entertainment (DJ, possibly some musicians)
Perhaps it depends on what we’re talking about? I want to have the ease of meeting the suppliers and being on hand to collect things, as well as using the local knowledge I have (having lived here for 10 years), however I also can envisage things being difficult if we’re transporting everything ourselves. Choosing suppliers local to the venue would make the week of the wedding easier I expect, but might be more difficult to source as it’s a completely unknown area and I won’t be able to get recommendations or meet suppliers as conveniently.
Any thoughts and suggestions welcome. How does it normally work with things being delivered/ people travelling?
Thanks,Sian

We had the same thing, we are getting married an hour away from where we live, but it’s closer to where I grew up. Initially I thought it would be easier to source suppliers locally to me but unfortunately a lot do not want to travel that far and suggested that items such as decorations should be taken to the venue by us (which causes a headache when you think of how much stuff it could be!).

We ended up with going for suppliers local to the venue. We asked the venue themselves for suggestions and also looked online at hitched for suppliers. If you have Instagram and the venue does too I’d also suggest looking at the venues page to see if they have any mentioned any suppliers also. Hope it all goes well!

Thanks so much for your response - good to know others are in the same boat with similar thinking to me! I thought that might be the solution, happy to look at suppliers local to the venue and if needed we can travel to them! Thanks again ☺️

Thank you for your response, that’s really useful to know. Particularly from a photography perspective.

Our venue is run by a company with 4 venues, all in a similar area but still somewhat spread out and yet they advertise the same photographers for all 4. I did wonder whether it’s worth going even more local than that and not just using the ones listed.
I think instagram is a good way to find photographers who have worked the venue before and who’s photos fit with what we want, would you agree? Is there any other ways that you would advertise as a photographer or you suggest we use to source someone? Thanks again!

I personally do not use Instagram but it is one source to use. It has been known for some venues to charge a fee to be "recommended" but looking at a venues supplier list can be helpful.

A good way to find photographers who have worked at the venue before is to try googling your venue with the word wedding photography or photos and then look at google images and see what come up.

I’m getting married at a venue over an hour away from where we live, finding near by suppliers meant less fees for transporting them or their goods to the venue and things like the cake won’t have as much risk of being ruined on transport which happened to my sister in law. Most suppliers are happy to meet you at the venue if the venue allows so that you can plan and tick off items at the same time as having another look around your venue for ideas Smiley smile
    Congrats on your wedding

Thank you for your response. Oh wow, I definitely wouldn’t want to risk ruining the cake in transport!! That’s a good idea, I’ll ask my venue if that’s a possibility. Thanks!

Something I forgot to add. When researching photographers and looking at images is to be mindful of fake couples -- otherwise known as a "styled shoot". Theses are usually with models playing the part and then MUA and hairstylists all get together at a venue and set up shots to look like a wedding. Obviously a lot easier to do than a real life wedding and so will have no baring on how good they would be at a real wedding.

Me and my partner booked our venue which is right in the middle of where both sides of the family live. When booking the venue, they supplied us with a list of recommended suppliers. We’ve also looked at who has tagged our venue on Instagram and browsed through some of those suppliers, there’s been a few that pop up a lot more than others so that’s been helpful for me. You’ve also got the added benefit that these suppliers, especially photographers and florists, know the venue well and know how to get the best out of it! Using this app to browse local suppliers to the area has helped us aswell 🙂

Good tip thank you! I’ll be vigilant with my searches! Another reason why it’d be best to get recommendations but I don’t have any in the area of our wedding so hey ho!

Just to jump on this because I saw your comments about instagram - that was how I found my photographer! I didn’t only look at my venue’s page, but also searched its hashtag followed by the word ‘wedding’ (ie #venuenamewedding ) until I found photos I liked that were tagged with the photographer, and that’s how I found him! I liked that I could see what his work looks like in my venue, and he wasn’t too expensive like lots of the ones I’d found through more official channels.

You're not going to need to have a lot of meetings with suppliers, and you could easily organise 2 or 3 in one day to save having to travel too much. But most of it can be done by email, phone, zoom etc. Booking suppliers that are a long way from the venue is going to mean you are likely to get hit with excess travel charges. Suppliers should be ok with delivering cake, flowers etc to the venue themselves, and again, it's obviously going to be easier if things don't have to travel so far. I guess the only thing to consider is if you are getting ready at home, you would want your bouquet delivered to your home address but if you are getting ready at or near your venue, then that problem is dealt with.

Regarding recommendations, I'd check to see if there is a local Facebook community page and join that to ask for recommendations. I used to live in an area that was very popular for weddings, and I'd often see posts from brides-to-be asking for recommendations for local florists, photographers etc. The advantage of social media is that you are getting recommendations from real people. If one person tells you a photographer is great, it might be their relative - if 20 people tell you that person is great, it's probably true!
