Transport Options - Coaches

Hi all, I was hoping to get other peoples thoughts/advice on what they had done about this. Or maybe you’ve been a guest in this situation and have some advice on what worked best.


So we’re getting married & having the reception all in one place. The venue has 10 double bedrooms which we can allocate out to our nearest & dearest, but also we don’t have to use all of if we don’t want to. We were then going to put a coach on to a nearby hotel for any remaining guests at the end of the night (total number of guests is about 50, so it would be 30 or less than for the coach). Its more of a destination wedding so most people will want to stay based on indication so far.
My practical side wasn’t sure what to do though about them checking into this other hotel. The check-in time isn’t till the 2nd half of our cocktail reception, so people will have started drinking by then so driving may be out, and also the morning after do we put a coach on to bring them back to get their cars? Just thinking that’s 3 coaches instead of 1, so more money, but would that be the best thing to do?
As it’s a destination wedding the hotel is about 15-20 min drive from the wedding venue, as that’s one of the ones large enough & close enough for this kind of thing. There’s other hotels closer to the venue but they won’t have enough rooms for everyone.
Anyone got any practical thoughts on this please? Or had to do something similar?

    We looked at this option but once we consulted our guests most of them said they would be happy to get taxi's or sort out themselves as they like dto control things themselves. The problem you have is peopel will all have to do the same timings and some may want to leave a bit earlier and some may be happy to drive, also have the choice of where they stay. Give people all the hotel options and let them decide, also is less for you to organise and pay for, people are more than likely comfotable to organise their own thing. They will be able to check in later, they will just need to elt the hotel know, and I am sure it will be fine.

    When my friend got married, we made our own arrangements to get to the hotel we were staying at nearby. I don't think anyone would expect any different.

    We had transport when the reception was at a different location from the ceremony and then back into town after, but it was up to people if they wanted to make their own way at different times.
    I'd give people the information about the hotels, and maybe include some taxi numbers etc (that's what I'm going to do anyway!) Then they can make their own arrangements which will give them more flexibility and save you some money!

    The only time I've been to a wedding that provided transport was when the ceremony was at a city centre church with no parking anywhere nearby, so the bride organised a coach for anyone who wanted to drop their car at the reception venue and take the coach to and from the church.

    I think organising a coach between the reception venue and the hotel is going to be too complicated - people will want to stay in different places and leave at different times. I would let people make their own arrangements.

    It sounds like I’m trying to over-plan it. The Project Manager in me (it’s my job too) is definitely trying to overthink the wedding, sometimes 🙈

    I have seen a similar setup at a friends wedding where guests stayed in two different places and it all worked out fine. People were more focused on enjoying the day than worrying about check in. A calm plan for morning transport usually kept everything simple.

    What helped there was making sure the path to the coach was well lit because guests were moving around after the reception. In the middle of planning someone mentioned using Audi puddle lights on their own car and it actually made me think how helpful clear lighting can be when people are a bit tired. A small detail like that can make late night transitions easier.
