Venue communication

Emma, 31 May, 2023 at 07:53 Posted on Planning 1 5

Our wedding is in 25 days. I haven't heard from the Venue since Feb when we confirmed the menu, some decor details and the timing of the ceremony on the day. So currently they don't know final numbers, they don't know how many bottles of wine, prosecco and tequila we want, we don't know what the final costs are or when to pay them (we have asked for costings several times and been promised an email that has never materialised - I have worked them out myself so we knew what to save), they don't know when our cake, stylist, florist or DJ is arriving, we have no idea if the evening food is going to cater for allergens etc.

The wedding coordinator said in Feb she will 'have us in a couple of times before the big day'. We have heard nothing. Is this normal? What is your experience of venue communication? I had to go nuclear to get a meeting in Feb to confirm the food. Just wondering if I should be going nuclear again or am I being overly anxious? TIA x

Im not sure whats normal but if its adding to your stress then its absolutley important and worth chasing them.

They may just be super efficient and only need to know a few days before the wedding but that isnt going to help your stress levels . Can you call them and explain?

We have a meeting at our venue on thursday , we were given the cost outlines in January and the timeline has been discused so its just number and allergen info now.

We had our final meeting 6 weeks before our wedding where we confirmed guest numbers, menu choices, seating plan, drinks quantities, timings, flow of guests around the venue, where we would have our registar meetings and how that would be arranged, what suppliers were turning up and when, and any set up the venue needed to do. We also paid our final balance then.

So I find it very strange that those kind of things are not settled yet with only 25 days to go. I suggest pestering them until you can get a meeting booked in. Surely they are going to want paying before the big day, it's not professional to be asking a wedding couple to hand over a bank card whilst they are getting ready for their ceremony.

I know! Especially as she said we would have two meetings between Feb and our wedding day and then...radio silence. I sent an email and left a VM yesterday and have heard nothing. The wedding coordinator said she has 'years of industry experience'. If this was the case surely she'd know the typical timelines? I am working and looking after my children today so can't get to the venue but if I haven't heard back by today I will go in tomorrow.

We had a bit of this with our venue, I think to them they are just thinking of the next wedding that is happening, so your wedding probably isn't on their high priority list yet

In the end I just contacted them and asked them for meetings etc as I wanted everything finalising for my own sanity! We did have what I thought would be the final meeting a couple of weeks ago, but our coordinator kept it quite casual and has now mentioned going in again to finalise everything. So instead we're having a zoom meeting before the day to do a final run through which will save us having to drive over again, and we're also there the day before the wedding to drop off items so we can have a quick catch up then as well if needed.

If it makes you feel better, our wedding is also this month and we haven't had a final invoice or anything yet!

That is helpful, thank you. Glad someone else in the same boat, but feel bad for you at the same time too!
