Wedding Day Timeline Help!

Ashlee, 27 April, 2023 at 12:18 Posted on Planning 0 4

Hi all,

I'm getting married next year at Hackney Town Hall, then moving on to a pub for our reception which has a live music cut off of 10pm, but a kick out time of 12.30pm. The Band need 1 hour set up time and will have x2 1 hour sets, the dining area and the band area are in the same place so tables need to be cleared away before they can set up. There will be about 50 people during the day and the food orders will be taken on the day. Please can someone let me know if this timeline of the day looks good to them?

1:15pm - Arrive at Town Hall

1:30pm - Ceremony

2pm - Pictures/Confetti Outside

2:15pm - Bus pick up to go to reception (15-25 mins away)

2:45pm - Arrive at reception

3pm - 4pm - Mariachi band, drinks reception and some canapés

4pm - Sit Down for Dinner, orders taken and prosecco served

4:45pm - Short speeches

5pm - Eat, 2 course meal only

6.30pm - clear away and band begin set up

7pm - Cake cutting and grab and go serving as desert

7.30pm - Band first set

8.30pm - First set done, evening food comes out

9pm - Band second set

10pm - Live music wraps, playlist on for the rest of the evening

12.30pm - we're all kicked out

I would factor in longer for your post ceremony time before the bus leaves. Guests will want to congratulate you and even if it's just 30 seconds a person for them to say congratulations and give you a hug, that is still 25 minutes.
I also think you need to factor in time to actually clear and move the tables. You currently have them disappearing instantly and the band able to start set up at 6:30. You need to know how long it will take to clear the space and make sure food is served early enough so guests aren't being forced to finish their plate because someone needs them to move.

    Thanks for your reply!

Well, we are getting on the bus with everyone as well so I'd hope that would be the perfect time to chat to most people!

The venue reckon they can clear the area in 10 minutes, so I'd say latest the band start setting up at 6:45, it may cut into their break if it takes them the full hour to set up, though they did say between 45 mins - hour for set up?

Yes that will work for people to talk to you then, so just make it clear to guests beforehand that the bus will be leaving at 2:15 so they don't hold you up.
I'm surprised you've found a pub that is not insisting on pre orders for 50 people. Are they going to have a small menu? I would worry about how many of each dish they can do and guests giving their orders last being told they have ran out and they need to pick something else. I'm guessing the hour between ordering and the 1st course has been dictated by them?

This was my first thought to regarding the food ordering system however they have been doing it this way for 13 years and have reassured me they have never once ran out of a food item, my uncle also had his reception at their sister branch where we ordered on the day and there were no issues that I remember. The guests will have 3 starters and 3 mains to chose from, we’re thinking of not having a desert to get dinner out of the way quicker, plus my aunt is an amazing baker so I want everyone to eat her cake and it not go to waste. The hour between ordering and first course is my best guess of how long it’ll take to do, it may be less time but we will do our speeches during so it won’t be a case of everyone waiting around if that makes sense?
